Creating Service Charges for use in Contracts and Invoices

Summary

The service charges program allows extra charges such as cleaning, damage, fuel etc to be added to a contract. There is no link between the service charge and any particular contract line – each service charge applies to the entire contract

Service charges can also be added to an invoice in the manual invoicing and workshop programs.

Details

1. Creating a new nominal code
1. Create a new nominal code if required using ngl1293, or use an existing nominal code

1. Creating a new analysis code
1. If you have created a new nominal code, you must create a new analysis code in screen hre0108 and link this to the analysis part of the new nominal code. This setup depends on your nominal ledger code structure – if you are not sure what the analysis part of your nominal code is, then please contact your trainer, or the support department

1. Create a new plant code (hre0140)
1. All service charges must be linked to a dummy, service type plant code (plant type 5), which in turn holds all the performance and profitability data from the service code. If you require income analysis for this new service code to be available in all the profitability reports and enquiries, then it is best to create a new plant code. Otherwise, link it to an existing service type plant code.
2. If you created a new nominal code or a new analysis code, you must create a new plant code and direct the income analysis codes on the plant code screen to the new analysis code you set up in hre0108. (F2 from hre0135, menu # 2)
3. The new plant code, plant type must be 5. There is usually a ‘SERVICES’ group and subgroup already set up, although you can choose your own group and subgroup structure if you like.

1. Create a new service code (hre0126)
1. Add a sensible code and description for the new service code, and a default cost if required.
2. If the service code is based on a percentage, enter a 1 in the charge type field and the percentage in the cost field.

1. Link the new service code to divisions (hre0181)
1. Add the service code to every applicable division, and link it to its new plant code that you created in (3), or an existing plant code. You can set different default costs for each division if you need to.
